Measuring whether product knowledge reaches the field correctly

At a pharmaceutical company, what a field representative tells a physician must match the approved product content; a new indication, a package insert update or a launch has to reach every region quickly. The UZEM academy turns content prepared by the medical team into courses and measures understanding with exams generated from the question bank. Regional managers track their teams’ readiness from their own screens.

  • Randomized question sets Each attempt draws different questions from the pool and shuffles question and answer order, making it harder for reps to share answers.
  • Staged lesson release In a long product program, you release lessons on days you set from the enrollment date so knowledge is absorbed piece by piece.
  • Protected product documents Product monographs and training files are kept in private storage and opened only to users with access to the course.
  • Readiness by region A regional manager sees their own reps’ exam results; other regions’ data is closed to them.
  • Recorded launch meeting You hold the national launch live on Zoom and add the recording to the course for reps who were on leave or have just joined.
  • Quick refresher before visits Before a physician visit, a rep can rewatch the product video in a tablet browser.
  • Verifiable completion certificate Reps who pass the product exam receive an internal certificate bearing your company’s name, verified by QR code.

Industry challenges and solutions

Problem

When product information is updated, there is a risk that field reps keep using outdated information.

Solution

Add the updated content to the course, assign it to the field unit and announce it with a notification; reps who have not yet passed the exam show up separately in the report.

Who uses it?

Medical team

Prepares product monographs, scientific literature summaries and Q&A documents and turns them into training content for field and marketing teams.

Use cases

  • Product certification Prepare a package of training, an exam and a certificate for each product; use it as a step expected to be completed before going into the field.
  • Medical sales rep orientation Spread company culture, ethical promotion principles, pharmacovigilance reporting and portfolio basics across the first weeks.
  • Good manufacturing practice training Design short, procedure-focused training and periodic refresher exams for manufacturing, warehouse and quality control staff.
  • Rolling out regulatory updates The regulatory team explains the change in a live session; the recording and a summary document are added to the course and assigned to affected units.
  • Launch preparation Before a new product, prepare courses that present the same content at different depths to marketing, medical and field teams.

How your academy is prepared

When you open an account with this industry, the structure below is set up as a draft; you adjust everything to fit your organization.

Departments and the field force separate, reporting in one place

Define Medical, Sales, Marketing, Regulatory and Quality teams as units; group medical sales reps in a Field Representatives unit under Sales, and split it into regions if you like. When you assign product training to the Sales unit, the field force and its regions are covered too; a regional manager sees only their own reps’ progress.

Sample unit tree

Sample structure: Sample Pharma → Medical / Sales (Field Representatives) / Marketing / Regulatory / Quality

Your pharma academy is ready: Under Sample Pharma, we have created Medical, Sales (with Field Representatives under it), Marketing, Regulatory and Quality units, and Product, GMP, Quality, Regulatory and Sales categories. Introduction to Good Manufacturing Practice and Product Training – Portfolio Basics are ready with their exams, and Regulatory Change Briefing as a template; continue by filling them with your own products and procedures.

Rollout steps

  1. Define teams and regions

Add departments and sales regions as units, and make regional managers unit managers.

  2. Build the question bank

Prepare product and procedure questions with the medical and quality teams, and feed your exams from this bank.

  3. Assign training to teams

Assign product courses to the field unit and procedure courses to manufacturing and quality; new joiners are enrolled automatically.

  4. Track results

Report exam pass rates and certificate status by unit, and send announcements to those who are behind.

Does UZEM ensure compliance with good manufacturing practice inspections?

UZEM makes it easier to plan training, measure it with exams and report the records. Assessing compliance with regulations and inspection requirements is the responsibility of your company’s quality system; the platform makes no commitment on this.

If reps share exam questions with each other, won’t that undermine the measurement?

You can set up the exam to draw a set number of questions from the question bank on each attempt and shuffle question and answer order. If the pool is large enough, reps get different question sets from each other.

Can field reps check training between visits?

Yes. The academy opens in tablet and phone browsers; a rep can refresh the product video before a physician visit and complete the exam from the same screen.

Who can see product documents?

Files are kept in private storage and made available only to users with access to that course. You decide which document goes into which team’s course.

Can a regional manager see other regions?

No. A regional manager sees the reps in their own region; a neighboring region’s exam results are not open to them.

Can we hold the launch meeting on the platform?

With the Zoom integration you can schedule a live session, announce it on the calendar and add the recording to the course afterwards.

How do we bring over our existing product training presentations and question pool?

You upload product presentation videos and attach approved training documents to lessons as PDFs. You enter your question pool into the question bank from the dashboard; bulk question import from a file is not available. You can import the rep list in one go with a CSV file; ready-made course packages cannot be imported.

Our field team changes periodically; how is licensing calculated?

Only active learners use licenses. When you deactivate a rep who has left the company, their license can be used for a new rep, and old records are not deleted. Plans are offered by active learner capacity; details are on the Pricing page.

Is there a connection to our CRM or HR system?

We do not offer a ready-made connection to your CRM, field reporting or HR systems; you import reps via CSV. The academy works with Zoom for live launches and meetings, and with Netgsm or Mutlucell for notification SMS.
